Collaborating with Shared Projects

Save your projects to the cloud and collaborate with your team in real time.

What are Shared Projects?

Shared Projects let your team collaborate on the same project in real time. Team members can view projects, leave feedback, mention teammates, track project status, and make updates without sending files back and forth.

This means, when a project is shared with your team, collaborators can:

  • View the latest version of a project

  • Leave comments directly on the canvas

  • Mention teammates in comment threads

  • Reply to comments and react with emoji

  • Attach feedback to a specific moment in the timeline

  • Resolve completed feedback threads

  • Update project status as work progresses

  • Receive in-app and email notifications for mentions


Accessing Projects

You can find both private and shared projects on the homepage. New filters allow you to quickly switch between viewing your own projects and those shared by your team. Shared projects show the owner name and thumbnail so you always know who created what.


Sharing Projects with Your Team

Control who can access your project — and what they can do with it — from the Share Project dialog. You can share a project with everyone in your account, or invite specific people and give each of them their own level of access. Your projects will be private by default, and visible to your team when you choose.

Role

What They Can Do

Owner

The person who created the project. Full access, and the only person who can change sharing settings or delete the project.

Editor

Can open the project and take over editing to make changes as well as leave comments.

Viewer

Can open and view the project. Cannot make changes, other than updating project status, but can leave comments.

Note: Only the project owner can change a project's visibility or access levels.

How to start a shared project

  1. Click on the 'create content' button in the upper right hand corner in the brand hub and select 'create new project'

  2. Create and edit your content as you normally would

  3. When you're ready to share your project, you'll click on the plus button in the upper right corner next to your avatar

  4. From here, decide if you want to select everyone in your account, or click on the dialog box to add team members

Combining account-wide and individual access

Account-wide and per-user access work together. For example, you can give everyone at your account Viewer access so the whole team can follow along, while granting one or two people Editor access to do the actual work. Click Save to apply your changes — the project header will reflect the shared state.

Sharing a project link

  1. Click the visibility icon to open the Share modal

  2. Click the copy icon next to the project URL

  3. Share the copied link with your team members


Editing a Shared Project

When your project is shared with your team, you can see who else is viewing or editing.

Taking Over Editing

Only one person can edit a project at a time. If someone else is editing, you can view the project and request control when you need it.

Note: Taking over requires Editor access — Viewers stay in view-only mode.

When someone else is editing

If another team member is currently editing, you'll see:

  • A notification showing their name: "John is editing"

  • A Take Over button to request editing control

  • The canvas in read-only mode (editing tools hidden)

To take over editing:

  1. Click the Take Over button that appears in the workspace

  2. You'll immediately gain editing control

  3. The previous editor will switch to view-only mode


Project Comments

Project comments allow your team to leave feedback directly inside a shared project.

Open the Comments Panel

Open the Comments panel to enter review mode.

When the Comments panel is open:

  • You can add comments anywhere on the canvas

  • The project enters a review state to prevent accidental edits

  • You can still inspect assets and navigate the project

  • Editing actions are disabled until you exit review mode

Add a Comment

Click anywhere on the canvas and type your feedback. When commenting on a video, you're able to attach your comment to a time range.

By default:

  • The comment anchors to the current playhead position

  • The range can be adjusted by dragging the handles

  • A visual marker appears on the timeline

This makes it easy to provide precise feedback about a specific moment in a video.

Reply to Comments

Anyone with access to the project can reply to an existing comment thread.

Replies help keep discussions organized and provide context around feedback and decisions.

React to Comments

Use emoji reactions to quickly acknowledge feedback without creating additional replies.

Edit or Delete a Comment

Comment creators can:

  • Edit their comments

  • Delete their comments

  • Change the comment type

These actions are only available to the original author of the comment.


Mentions & Notifications

Mentions help bring the right people into a conversation.

Mention a Teammate

Type @ in a comment to mention someone on your team.

Note: Mentions only work on shared projects. If you haven't shared the project with anyone yet, the only available mention option will be yourself. To mention teammates, first give them access from the Share Project dialog — either by inviting them individually or by sharing with everyone at your account.

In-App Notifications

When someone mentions you:

  • You'll receive a notification inside Slate

  • Unread notifications display a badge

  • A green dot indicates unread activity

  • Clicking a notification opens the related project and comment

Email Notifications

Mentions also trigger an email notification. The email includes a View Comment button that links directly to the project so you can quickly review and respond to feedback.

Updating a Project Status

Project status helps teams track progress directly from within a shared project. You can update the status of a project within the project itself, or on the homepage.

You can choose from 5 different status updates:

  1. In Progress

  2. In Review

  3. Needs Revision

  4. Approved

  5. Posted


Setting Account Defaults

Admins can decide how new projects start out, rather than having every creator set visibility themselves. The default is Private, so if you'd rather have new work visible to your team from the start, head to Company Settings and switch the default to Shared. Keep in mind that this setting applies only to new projects going forward — existing projects keep whatever visibility they already have, and anyone can still change an individual project's visibility at any time from the Share Project dialog.


How Cloud Sync Works

When you work on a project, Slate automatically saves your changes to the cloud. You'll see sync status indicators in the toolbar:

Your projects sync automatically as you work. There's no need to manually save - Slate takes care of it in the background.

How to verify your project is saved

  1. Look for the cloud icon in the toolbar next to your project name

  2. When you see a checkmark, your changes are saved

  3. If you see an animated upload icon, wait a moment for the sync to complete

FAQs

Q: Can I access my shared projects on my mobile device?

A: Not yet, but we're working on it! Right now, your projects are shared across your team in the web creation studio.

Q: Can I edit a document at the same time as a coworker?

A: Almost! You can use the take over prompt to trade-off editing control.

Q: What's the difference between a Viewer and an Editor?

A: Viewers can open and view a project and update its status, but can't change the project itself. Editors can take over editing and make changes.

Q: Who can change who has access to a project?

A: Only the project owner — the person who created it. Owners are also the only people who can delete a project. Everyone else with access can view, edit (if they're an Editor), and duplicate it.

Q: What if I lose connection while editing?
A: Changes save locally and sync when reconnected.

Q: Why isn't the link working for me?

A: Double check that you're in the right account. If you have access to multiple Slate accounts, you'll need the correct account active to view the link.

Q: Can I share my Shortcuts project?

A: Yes, you can share your Shortcuts projects!
